Serving on a Senate Committee is a way to engage with the work of Senate and ¾ÅÐãÖ±²¥ in a meaningful and rewarding way.  Potential applicants are encouraged to read the ¾ÅÐãÖ±²¥ Gazette Article "" to find out more about the experience from past Senate committee members.

Almost all members of the ¾ÅÐãÖ±²¥ community are eligible to serve, although some positions will be restricted to Senators, and will be noted as such. Additional eligibility details can be found below. 

Senate committee terms are generally two years, although there are some exceptions which will be noted on the listing. While is not required that applicants be able to serve the full term, it is preferable.Committee members are eligible to serve an additional term. 

Committee chairs serve for a term of two years and shall be eligible to reapply for the role for one additional consecutive term. 

All applicants will be asked to complete a short form, and to provide the name of one person who can be contacted to complete a reference form.

After information about current vacancies on one or more standing committees of Senate is distributed to the ¾ÅÐãÖ±²¥ community, and applications have been received by the University Secretariat, the Senate's Governance and Nominating Committee (SGNC) begins its adjudication process.

First, a formal evaluation process is in place. Individually, each member of SGNC reads the individual's application and the form submitted by the applicant's referee. The SGNC members then complete a ranking, scoring the applicant from 0 to 4 in three different categories:

  • Experience – Evidence the applicant has the background and skills necessary to contribute to the Senate committee in question;
  • Adequacy of Application Preparation – Evidence that the application was prepared conscientiously and, by extension, that the applicant is likely to perform the tasks of the Senate committee adequately; and
  • Reference â€“ Evidence that the referee has known the applicant long enough, and in an appropriate capacity, to provide a reference and that the reference being provided is supportive of the application.

The following definitions apply to the scoring:
0 - none
1 - very little
2 - some
3 - quite a bit
4 - extensive

The Secretary of SGNC then enters all of the committee members' individual rankings into a master list and an overall ranking for each applicant is generated.

If the rankings are difficult to discern, the members of SGNC discuss their individual rationales for particular scores in an effort to come to a decision.  Under most circumstances, a consensus is reached on the candidate of choice.

  • Chair Suitability - Evidence of recognition of responsibility of position, previous experience with the committee in question, experience running meetings with diverse attendees, demonstrated communication skills, desire to contribute to Queen’s governance.

4 - extensive

Faculty/Librarian/Archivist:

Please note that Individuals holding an appointment at the level of Associate Dean, or equivalent, and above (e.g., Principal and Vice-Chancellor, Vice-Principal, Associate Vice-Principal, Dean, Vice-Dean, University Librarian, Associate University Librarian, University Archivist, Associate University Archivist) are not eligible to serve as a faculty senator or as a faculty member on a Senate committee.

Please note that some positions are designated as AMS (undergraduate) or SGPS (graduate) only, while others can be filled by either graduate or undergraduate students.
